Gifting for distributed engineering teams — what works when half the company is remote, sizes are unknown, and the recipients own better versions of most gadgets already.

Tech companies gift more often than most sectors and get less out of it. The reasons are structural rather than a failure of taste: the workforce is distributed, headcount moves monthly, and the recipients are unusually likely to already own a better version of whatever gadget is being considered.

The three constraints that shape everything

Distribution. A meaningful share of the team is remote, hybrid, or in a different city from the office the order would ship to. Any gifting plan that assumes a single delivery address is planning for the company as it was in 2019.

Churn and growth. A cohort gift bought for a headcount is out of date by the time it arrives. Anything run as a one-off event has to be re-run for joiners, and anything not re-run creates a visible have/have-not split.

The recipients are hard to impress with electronics. An engineer has opinions about their keyboard, their headphones and their charger. A branded version of any of them is a downgrade of something they already chose deliberately. This is the single most common way tech gifting budgets get wasted.

What works instead

Non-electronic things at a quality tier above self-purchase. Insulated drinkware, a genuinely good notebook, a desk object with weight. The test is whether they would have bought it for themselves at a slightly lower price — for a well-made flask the answer is usually yes; for a branded power bank it is almost always no.

Things that work at a home desk. Most gifting still implicitly assumes an office desk. The home desk is smaller, more personal and more visible on video, and gifts chosen for it get more use.

One good thing, not five adequate ones. This is true generally and more true here, because the audience is unusually good at estimating what things cost.

Consumables of real quality. Coffee is the reliable one. It gets used, running out is felt, and there is no sizing problem.

The joining kit is the highest-leverage gift

For most tech companies, the single best use of a gifting budget is not the festive gift — it is the joining kit, run as a standing programme rather than a project.

The reason is arithmetic. A company hiring steadily sends more joining kits per year than it sends festive gifts, each one arrives on a day when the recipient is paying complete attention, and it is the only gift that reliably reaches someone before they have formed a view of the company.

Run it as a trigger rather than a batch: HR marks a start date, the kit ships to the joiner's address, and nothing needs a meeting. We keep the components ready and dispatch against that trigger, which is what makes the rolling version practical rather than a monthly scramble.

The apparel problem

Branded apparel is the default tech gift and the one that most often fails, because sizing collected in advance is the only version that works and almost nobody collects it in advance.

Two workable options: collect sizes as a separate step before the gift is promised, or drop apparel from the gift and let people choose it themselves from a small internal store. A hoodie in the wrong size is not a gift — it is a return process you have handed to somebody.

Practical logistics for a distributed team

Send a list with names and addresses; each gift is packed individually and dispatched with tracked delivery per recipient. That is one file from you rather than a coordination exercise, and one tracking reference per person rather than one per order — which matters when somebody's gift is the one that did not arrive.

Order minimum is 25 units, which covers a single team or a hiring cohort. Branded production needs artwork sign-off before it starts, and that step is usually what determines whether a date is met.
