Employee Joining Kits: What to Include and When to Order

A practical checklist for welcome kits — what belongs in one, what to leave out, and how to keep a rolling programme stocked without over-ordering.

3 min read

A joining kit is the first physical thing a new employee receives from you, and it arrives on the one day they are paying complete attention. That makes it unusually high-leverage for something most companies assemble from whatever is left in the store cupboard.

This is a checklist for building one properly, and for running it as a rolling programme rather than a scramble per hire.

What belongs in a joining kit

A good kit does three jobs: it makes day one work, it signals what kind of company this is, and it gives the new joiner something they will still use in month six.

Things that make day one work

  • A written welcome — a card, signed, not a printed insert
  • Anything they physically need to start: notebook, pen, laptop accessories
  • A short guide to the first week, if onboarding is not already handled well elsewhere

Things that signal the company

  • One well-made branded item, not five mediocre ones
  • Packaging that looks considered when opened at a desk, in front of new colleagues

Things still in use in month six

  • Drinkware, bags and desk objects, chosen at a quality tier above what someone would buy for themselves
  • Consumables good enough to be missed when they run out

What to leave out

The failure mode of joining kits is volume. A box with nine items in it reads as generous for about ninety seconds and then becomes a disposal problem.

  • Anything sized. Apparel in a kit assembled before the joiner starts is a guess. Either collect sizes in advance or send apparel separately.
  • Printed material with a shelf life. Org charts and policy printouts date faster than the kit ships.
  • Redundant branded stationery. One notebook is a gift. Three is inventory.
  • Anything that needs setup the recipient has to do before it is useful.

Running it as a programme, not an event

The operational difference between a joining kit that works and one that quietly degrades is whether someone owns restocking.

Order against hiring plan, not headcount. Ask the recruiting team for the next two quarters of expected joiners and order against that, with a buffer. Kits are not perishable — over-ordering slightly is far cheaper than an emergency single-unit run.

Set a reorder trigger, not a reorder date. "Reorder when we drop below fifteen kits" survives a hiring slowdown. "Reorder every quarter" does not.

Keep components separable. If the kit is assembled from parts you hold rather than shipped as a sealed unit, you can vary it by role or seniority without a second SKU, and you can substitute one component when a supplier runs short without redesigning the whole thing.

Decide the delivery address once. Remote or hybrid teams mean home delivery, which means a repeatable process for collecting addresses at offer-acceptance rather than an ad-hoc chase per hire.

A minimum viable kit

If you are starting from nothing, this is a defensible first version:

ComponentPurpose
Signed welcome cardThe part people keep
One quality notebook + penUsed immediately, used for months
Branded drinkwareThe daily-use item
One consumableOpened on day one
Considered packagingMakes the four items above read as one gift

Five components, one of them free. That is a better kit than most nine-item boxes, and it is achievable at a per-head cost you can defend to finance.

Placeholder copy. Replace this with your own recommended kit and its quoted per-head cost once you have run a few programmes. Specifics from real orders are what make a guide like this worth reading.

Practical next step

Joining kits work best as a standing arrangement rather than a per-hire order. Send us your expected hiring volume for the next two quarters and we will quote a kit and a restocking cadence — proposal within 48 hours, orders from 25 units, GST invoiced. Browse the catalogue if you want a sense of the components first.
